Admin & Operations Coordinator
Job description
We are looking for a creative problem solver with experience maintaining back of house operations. The Admin & Operations Coordinator will support the Managing Director and Account Director on client projects, coordinating with finance, HR and legal departments and keeping the team and associates accountable.
This role is best suited to someone with experience as an experienced Office Assistant and Office Administrator, or, those with experience in agency who are taking a step back from full time work for study or parental needs.
Key accountabilities
This role offers a unique opportunity to showcase your organisational skills. You must be an excellent communicator, have some experience in project management, and be able to handle multiple tasks simultaneously.
- Implement and monitor processes to ensure smooth operations
- Coordinate with other departments (Legal, HR, Finance)
- Assist with research and fact-finding
- Proofread documentation
- Manage a portfolio of freelancer associates
- Manage Monthly WIP meeting agenda and presentation input
- Management of our B Corp submission
- Review of government grant opportunities and submissions
Required skills, qualifications and experience
- Experience as an Account/Project Manager, Office Administrator, or Executive Assistant
- Proficient in using Google Workspace (Docs, Sheets, Calendar, Email, etc.)
- Familiarity with Monday.com for project management and administrative tasks
- Strong communication skills
- Experience or interest in B2B marketing, branding, communications, and website projects
- Interest in working in a start-up or growth environment
- Experience with Adobe Creative Suite is a plus
- Energy, enthusiasm, and the ability to work under pressure to meet deadlines
